If you want requests from your website to show up in Housecall Pro without anyone retyping them, there are four main ways to do it. Most shops only need the first one.

Short answer: paste Housecall Pro's own Lead Form or booking button into your site. Requests land in your Job Inbox and you get a text. You only need the API if you want to keep your existing custom form, and the API requires the MAX plan. Zapier's built-in action only creates a customer in Housecall Pro, so it won't put a request in your inbox.
| Option | What it creates | Plan | Work involved | The catch |
|---|---|---|---|---|
| Lead Form embed | A Lead in Job Inbox (and in Pipeline under New Lead, if you have Pipeline), plus a text to you | Listed on all plans in Housecall Pro's marketing. Its help article doesn't say, so check your account. | Paste one code snippet | Job Inbox must be on. Any field you add becomes required. |
| Booking button or link | A job or estimate, depending on your scheduling settings, with text and email notices to you | Listed on all plans in Housecall Pro's marketing | Paste one code snippet, or just link to it | You have to set up services and availability first. If no slot fits, the customer's request becomes a Lead. |
| Your own form plus the API | A Lead in an API Leads channel in Job Inbox | MAX only | A small piece of custom code | An Admin has to generate an API key, and a full-access key reaches your account data. Only share it with someone you trust. |
| Zapier | A customer record only. "Create New Customer" is the only built-in action that writes into Housecall Pro. | Essentials and up per its Zapier help article, but its pricing FAQ ties Zapier to MAX, so check your account | A Zapier account and one Zap | No lead, job or estimate gets created, so nothing lands in your inbox. |
It only takes a couple of minutes. From your phone, on cellular, fill out the form like a customer would. Then check all three:
That's normal, and it doesn't block anything. Check your site's footer for a "powered by" credit. Send that company the embed code and ask them to put it on your contact page. If they control the site and won't add it, the booking link still works, because it's a plain link you can put on your Google Business Profile, your social pages and your email signature.
If you'd rather not deal with it, I install the Lead Form or booking button on your site, test it end to end and send you proof it works. It's about $150. You copy the code from your own account, so I don't need your Housecall Pro login. I'd rather not have it.
If you want phone calls in there too, that would be custom API work on MAX. Today my AI receptionist emails you the details.
I'll tell you which option fits and what it would cost. If the free option works for you and you can do it yourself, I'll say that too.
It's just me, Nathan, a solo developer near Oklahoma City. You deal with me directly. I'm a new business, so I don't have customer reviews to show you yet.
